Privacy Policy

The Service is used by freight brokers and their authorized users (our business customers), by shippers or receivers who are shown verification proof, and by truck drivers and carrier contacts who complete a one-time verification after receiving a text message link. Drivers do not create accounts; they are verified through a secure link and a one-time code.

From broker and customer users: name, email address, organization details, and authentication identifiers used to sign in.

From drivers completing a verification: mobile phone number and one-time verification code; approximate device location (GPS) captured from the browser during the check-in; photos taken during the check-in; short voice recordings for the spoken verification step; and technical signals about the device and network (browser type, screen size, coarse network information, and similar diagnostics used to assess whether a submission is genuine).

From carriers or load records: load, carrier, and contact details provided by the broker to set up a verification request.

Phone intelligence: to help brokers decide whether to send a verification link, we may check the line type and carrier of a driver phone number through a telecommunications provider.

We use information to operate the Service: to send verification text messages, verify phone possession, capture and analyze location, photo, and voice evidence, produce a verification result and audit record for the broker, share redacted proof with the broker’s customer when the broker chooses to, prevent fraud and abuse, provide support, and comply with legal obligations.

Photos and voice recordings are analyzed by automated systems to check that the submitted evidence matches what the broker requested. This analysis is contextual only and is not biometric identity verification.

BotLine sends transactional text messages related to a specific freight load: a verification link and a one-time code. You will receive up to 2 messages per shipment, plus no more than 1 additional non-load-related message per month. Message and data rates may apply. Reply STOP to any message to opt out of further messages, and HELP for help.

Mobile phone numbers and text-messaging consent are never sold, and are not shared with third parties or affiliates for their own marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties.

We do not sell personal information. We share information only as needed to run the Service:

• With the requesting broker(and, at the broker’s direction, a redacted proof summary with the broker’s customer).
• With service providerswho process data on our behalf under contract — for example, messaging (Twilio), application and database hosting (Convex), edge delivery and secure file storage (Cloudflare), authentication (WorkOS), and automated photo and voice analysis providers. These providers may use the data only to provide services to us.
• For legal reasons— to comply with law, respond to lawful requests, or protect rights, safety, and the integrity of the Service.
• In a business transfer— in connection with a merger, acquisition, or sale of assets, subject to this Policy.

We retain verification evidence and audit records for as long as needed to provide the Service to the broker, resolve disputes, and meet legal and recordkeeping obligations, after which it is deleted or de-identified. Brokers may configure retention where the Service allows.

We use technical and organizational safeguards including encryption in transit, private storage of evidence files behind short-lived signed links, hashed storage of codes and secrets, and access controls scoped to each organization. No method of transmission or storage is completely secure.

Drivers may decline to grant location, camera, or microphone permissions, though this may limit or prevent completion of a verification. Depending on your location, you may have rights to access, correct, or delete personal information. To make a request, contact us using the details below; because brokers control their verification records, we may direct certain requests to the relevant broker.

The Service is intended for business and commercial-driver use and is not directed to individuals under 18. We do not knowingly collect information from children.

We may update this Policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, through additional notice.
